
Members Involvement and Behaviour
Be Friendly! Keep in mind that nobody has complete knowledge about the task!
Everybody should get involved as much as possible.
Take initiative and make yourself useful as much as possible to the group!
“Be an asset to your group not a burden”.
Allocate sufficient time to participate in the project work and team collaboration
Be responsible for the assigned obligations.
Share the acquired knowledge and work in harmony.
We come from different countries, cultures and different educational backgrounds. Respect each team member’s ideas, opinions and contributions.
If you do not understand something, ask for an explanation.
In case you feel treated unfairly by someone communicate your worries to the other person or the group in order to avoid serious problems which might just be based on a misunderstanding! Communication is the key!
Communication and General Coordination
Check your emails every day at least once, read and reply even though your reply is just “yes” or “no”, don’t let your team members wonder what you’re thinking.
The on-line meeting (via Skype) was (so far) fixed for Mondays at 2.30 p.m. (Central European time) and will last for 1.5 hours. Please take this into consideration in your personal time planning.
The agenda of the meetings shall be fixed in previous meetings and/or in advance by team members via email so that our meetings are more efficient.
Be punctual. Meetings will start and end on time, respect the time of the other members.
Every change in the date or time of the next meeting will be made during the previous meeting and communicated by e-mail at least two/three days in advance to allow everyone to get prepared.
Attend the group meeting every week, or inform the team when you cannot attend it.
Decisions are taken by simple majority. Minimum 5 members have to attend the meeting in order to take a decision that is bound by all members.
Reports and Documents Management.
Currently two reports are proposed for each week:
- The minutes of the meeting, which should be published the day after the meeting.
- The weekly report, which should be published each Friday, with weekly advances and finished tasks.
The member(s)-in-charge of the weekly report should be informed about the development of the work by a task report, in order to write, compile and publish the report.
Make the documentation for your work as simple and as detailed as possible, so that when others see your work, they will know what it is and will know how to continue.
If you need to change something - make a copy - create a new version. Do not delete or modify common files on the platform without prior notice to members!
Project Coordination and Progress
The work should be divided reasonably and shared among members fairly.
One or two members of the team will be assigned to each identified task as responsible member(s)
The responsible member(s) of a particular task are solely responsible for the work but they can get support of any team member to accomplish the task.
The responsible member(s) should take care that their tasks are finished within the assigned time, in order to follow the schedule.
If you are stuck, ask other team members for help.
All problems and obstacles are seen as challenges and they are accepted as learning opportunities rather than something negative
Become familiar with every step of the project, even if you are not directly responsible for the task. The more you get involved the more you learn!
Every member shall help others in completion of tasks when extra help is needed.
